People and Office Care Specialist

As we continue to grow and scale rapidly, we are expanding our People Ops function and are currently looking for a People & Office Care Specialist. The mission of this role is to build and maintain reliable, well-structured, and human-centered People Ops operations, enabling the company to scale without operational disruptions while providing employees with a clear, high-quality, and supportive experience in all interactions with People Ops.
Your future responsibilities include:
Supporting employee onboarding and offboarding processes in line with existing checklists
Maintaining and updating People Ops systems (Zoho, Notion)
Coordinating insurance administration, system access, and work equipment
Ensuring high-quality operational execution
Supporting Kyiv office operations, coordinate communication with vendors and service providers (office presence required 2-3 times a week)
Managing company merchandise and gifts, including ordering and delivery coordination
Coordinating administrative requests from teams
Assisting with corporate events, trainings, and wellness activities
Needed experience & skills:
1+ year of experience in administrative, People Ops, or operational roles
Experience in fast-growing environments in companies with 200+ employees
Confident use of Notion and Google Workspace (Docs, Sheets)
Attention to detail and ability to work with data
Strong written and verbal communication skills
English level B1 or higher, Ukrainian - native / fluent
Ability to manage priorities and consistently deliver results
High level of ownership, responsibility, and reliability
Nice to have skills:
Ability to stay self-aware and grounded in a dynamic environment, taking ownership of your energy, capacity, and results,
Resilience and the ability to remain effective under pressure,
Experience working with budgets and basic cost tracking.
